Privacy Policy
Aquika LLC ("Aquika", "we", "us") respects your privacy. This policy explains what we collect when you use aquika.com, call our phone line, or work with us, why we collect it, and the choices you have. We keep it short on purpose.

What we collect, and why
- Contact form: name, company, email, phone (optional), what you need help with, approximate company size, and your message. We use it to reply to you and to prepare for a conversation about your technology. It is emailed to us and kept in our mailbox and business records.
- Phone calls to our business line: our line is answered by an AI receptionist. Calls may be recorded, transcribed and summarized so we can return your call accurately; the assistant may ask for your name, company, callback number and the reason for your call. Recordings and transcripts are stored with our telephony and AI providers and delivered to us by email.
- Website analytics: we use Cloudflare Web Analytics, which is cookieless and does not track you across sites, to see page views and page performance in aggregate. We also log a small number of anonymous interaction events on our own server (for example that a "Let's talk" button was clicked) without cookies, IP addresses or user identifiers.
- Technology health check: your answers are scored in your browser and are not sent to us unless you choose "Send this to Aquika", which pre-fills the contact form for you to review and submit.
- Server and security logs: like every website, our hosting and content-delivery providers keep standard request logs (IP address, browser type, pages requested, timestamps) for security, abuse prevention and troubleshooting. These are retained for a limited time and not used to profile you.
- Client work: when you become a client, we handle information needed to deliver the services (for example account credentials, network documentation, user directories). That is governed by the agreement we sign with you, which controls if it conflicts with this policy.
What we don't do
- We do not sell, rent or trade your personal information.
- We do not run advertising or advertising trackers on this site.
- We do not use cookies for tracking. Any cookie set is strictly necessary for the site to function.
- We do not use the content of your messages, calls or client data to train AI models, and we do not permit our providers to do so where the provider offers that control.
Who we share information with
We use a small number of service providers to run our business, and share information with them only as needed to provide the service: email and hosting providers, our content-delivery and analytics provider (Cloudflare), telephony, transcription and AI providers that operate our phone line, and payment processing (Stripe) for invoices. Each is bound by its own terms and privacy commitments. We may also disclose information if required by law, or to protect our rights, our clients, or the safety of others.
How long we keep it
Contact-form messages and call recordings, transcripts and summaries are kept for as long as they are useful to the conversation or the client relationship, then deleted in the ordinary course of business. Business records we are required to keep (for example invoices) are retained for the period the law requires. Aggregate analytics are not personal information and may be kept indefinitely.
Your choices and rights
- You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it, by emailing [email protected]. We will respond within a reasonable time and verify your identity where appropriate.
- If you would rather not be recorded when calling our line, say so at the start of the call and we will follow up by other means, or email us instead.
- You can browse this site without submitting any information. The contact form and health check are optional.
- Residents of states with consumer-privacy laws may have additional rights; we honor those requests regardless of where you live.
Security
We apply the same practices we recommend to clients: encrypted connections (HTTPS) across the site, access controls and multi-factor authentication on our own systems, least-privilege access to client information, and vendors chosen with security in mind. No system is perfectly secure, and we cannot guarantee that unauthorized access will never occur, but we take it seriously and will notify affected people as required by law if it does.
Children
Our website and services are intended for businesses and are not directed to children under 13. We do not knowingly collect information from children.
Changes to this policy
If we change this policy we will update the date at the top of this page. Material changes will be noted here for a reasonable period.
