Working with Aquika

What kind of company is Aquika?

A technology services company based in Illinois. We design, build, and manage the systems businesses run on — infrastructure, networks, cloud, security, backup, phones, automation, and AI — and we can operate as your outsourced technology department or alongside the IT staff you already have.

How do we start?

With a short conversation about what's going on. If it makes sense to go further, we look at your environment, then send a written proposal that says what we'd do, in what order, and what it involves. You decide from there. There's no lengthy intake form and nothing to sign to have the first conversation.

Do you work with businesses that already have an IT person?

Yes, often. Internal IT staff tend to be busy with users and applications; we take on the infrastructure, projects, monitoring, or the specialized engineering they don't have time for. We fit around what you have rather than replacing it.

Where do you work?

We're based in the Chicago area and work on site across Chicagoland and the Midwest. Much of what we do — cloud, security, monitoring, phones, automation, AI — is done remotely, and we support clients across the U.S.

Do you resell hardware or software?

We'll source and configure what a project needs, but we don't take reseller commissions and we're not tied to a product line. Recommendations are based on what fits your business — Microsoft, Google, open source, or a mix.

Managed IT

What does managed IT actually include?

The ongoing work: monitoring, patching, updates, user support, onboarding and offboarding, Microsoft 365 or Google Workspace administration, network and firewall management, vendor coordination, and documentation of your environment. The scope is written down so it's clear what's covered and what would be a separate project.

How is managed IT priced?

Typically a flat monthly fee based on the size and complexity of your environment — users, sites, servers, and how much coverage you need — with a defined scope. Projects outside that scope are quoted separately. See How pricing works for the longer version.

What happens in the first weeks?

We document what you have — devices, servers, network, cloud tenants, backups, vendors — fix anything urgent, put monitoring and management tooling in place, and give you a short prioritized list of what should change and why.

Will we deal with a help desk that doesn't know us?

No. The engineers who design and build environments are the ones who support them. When something breaks, we already know why it was built that way and what it touches — which is how problems get fixed at the root instead of worked around.

Phones & AI

Do you install phone systems, or just support them?

Both. We design, install, and support business phone systems — SIP trunking, hosted or on-premises PBX, call routing, remote users, recording, and integrations — and because we also run the network underneath, call-quality problems get solved rather than blamed on the internet.

What is an AI receptionist, and is it right for us?

Software that answers your phone, answers questions from a knowledge base, takes a proper message, and can transfer to people or departments. It's a good fit for overflow, after hours, and front desks that are busy with people in front of them. It's the wrong fit where a human answer is the product. Our own line is answered by one — call it and judge for yourself.

Can AI be used without our data leaving our environment?

Depending on requirements, yes. We can use providers with appropriate data terms, deploy models privately in a cloud you control, or run them on hardware in your environment. We match the deployment to your data sensitivity and budget.

Do we have to replace our phone system to add AI answering?

Usually not. AI answering can sit alongside an existing system and take the calls that would otherwise go to voicemail. Whether to keep, repair, or replace the underlying phone system is a separate decision, and it depends on your handsets, wiring, and how your desk is staffed — not on the age of the equipment.

Security & backup

What does a security program look like for a company our size?

The fundamentals done properly: identity and MFA, endpoint protection, email security, patching, network segmentation, backups that are isolated and tested, and someone watching for problems. We don't do fear-based security; we do the practical layers that stop the common attacks and let you recover from the uncommon ones.

We have backups. Are we covered?

Only if they're isolated from the systems they protect, and only if someone has actually restored from them recently. A backup that's never been tested is a hope, not a plan. We design backup tiers around how long you can afford to be down and how much data you can afford to lose, and we test restores on a schedule.

Can you help with compliance requirements?

We can design and run environments to meet the technical controls that frameworks and insurers ask for, and we'll be honest about what we do and don't cover. We don't make certification or compliance claims on your behalf — that's a conversation about your specific obligations.
